We’re a few weeks into the new year, and if your calendar already feels full and your inbox is creeping toward chaos — you’re not alone. I’ve learned over the years that getting organized doesn’t require a full system overhaul. Sometimes, a few small tweaks can make the biggest difference. Here are three quick wins I swear by to bring a little more clarity and calm to your day.
#1 - Color Coding for Importance
Whether it’s your calendar or email platform, color coding has become my own personal favorite thing. My team and I work mainly out of Google Workspace, so bear with me as I mention the benefits in Gmail and Google Calendar.
Being able to create multiple calendars and color code them individually has greatly helped me to manage my time and ensure I stay on track with the most important appointments or activities throughout the week.
Color coding within Gmail has been a GAME CHANGER for me. Creating multiple filters and labels to organize my inbox keeps me on track with the most important things coming in. Labels like “New File” colored green draws my attention to process files faster. Other labels and color associations I have include: “Inspections” in red, “Closing Info” in blue, and many more like agent name, brokerages, and internal business items!
#2 UNSUBSCRIBE!!!
Seriously… just do it. I take time during my “CEO” hour every week to go through and clean up my spam or junk folders, unsubscribe from irrelevant marketing email lists I somehow was added to, and ensure that if the email is from a relevant or important person, company, or organization it is marked safe and will not be filtered to spam in the future.
No more “oh, I missed your email. It was in my spam folder!” Five minutes a week can save a few headaches, frustrations, and embarrassing moments each month.
#3 Everything is Figure-out-able
The placard hanging in my office even says so! It’s a good daily reminder that even the toughest predicaments can end in a positive and fruitful solution. Remember that not everything on fire is burning down (unless a house actually is… but that’s a different convo). Sometimes our emotions and mental state make a mole hill feel like Mount Everest instead. Don’t let the negative perceptions you have in that moment steer you down a dark hole this year.
Even one small change can create a noticeable shift in your day. Try one of these quick wins this week and see what happens. And if you’re craving more structure or support behind the scenes, you know where to find us — we’re always happy to help.
